Where: the event site, under Shop. You need: admin on the Shop module (see Step 5 — Make sure someone can administer each module).

Shop quickstart — what the module does, for shoppers and for the staff handing orders over.

Before you start

  • The event has a working Stripe key (1. Create the event). Items cannot be saved without one.

  • The Shop module is switched on. It is off on a new event unless you chose it in the wizard: Event Management → Modules → Shop.

  • A department owns the Shop module. If Shop was switched on after the event was created, nobody owns it yet — grant it in Step 5 — Make sure someone can administer each module.

  • You know your prices. An item’s price cannot be changed after you create it.

Note

Shop and Register sell separately. Merchandise sold with a registration is set up in Register (2. Set up Register); the Shop is a standalone storefront with its own items, orders, and sales figures.

Step 1 — Create items

  1. Open Shop → Management → Shop Settings and click Add New Item.

  2. On the Details tab, fill in:

    • Name, Description, and Price ($).

    • Max Quantity — how many you have to sell in total. 0 is unlimited. The item shows Sold Out when the number is reached.

    • Max Per Order — the most one order can contain. 0 is unlimited.

    • Availability — Online & POS, Online Only, or POS Only. Only the first two appear on the public storefront.

    • Active (visible to customers) — on when you are ready to sell.

    • Create separate fulfillment per quantity — turn on if each unit is handed over separately; every unit then gets its own QR code.

  3. Click Save Item. The other two tabs unlock once the item is saved.

Step 2 — Add add-ons and questions (optional)

  • Add-ons tab — extras sold with the item. Fill in Addon Name, Price ($), and Max Quantity, then click Add Addon.

  • Form Builder tab — questions to ask the buyer (a size, a name to print, a signature). Click Add New Field, open each field with Edit and save it once, then click Save Form.

Step 3 — Review the fulfillment e-mail

On Shop Settings, under Fulfillment Email:

  1. Edit Email Subject and click Save Subject.

  2. Edit Email Body, click Render Preview, then Save.

Step 4 — Set up the pickup stations

Buyers get a QR code for what they bought; staff scan it to hand the item over. You have two ways to scan:

  • Signed-in staff — Shop → Sales Floor → Fulfillment. Nothing to set up.

  • A dedicated terminal — Shop → Management → Rapid Fulfillment → Create Terminal:

    1. Give it a Name and choose a Mode: Fulfill (hand over), Validate, or Check Status.

    2. Optionally limit it to certain Shop Items.

    3. Save, then use Copy URL or Show QR Code to open it on the device.

The device must be an enrolled kiosk device, or a browser signed in as Shop staff.

Step 5 — Set up in-person sales (optional)

To sell at a table with a card reader, open Shop → Management → POS Management and work down the page:

  1. Stripe Terminal Location → Set Up Location — the address where the readers are used.

  2. Reader Display — optional image shown on idle readers.

  3. POS Stations → Create Station — one per till. Choose its Sellable Items, and whether it can Accept cash.

  4. On the station’s row, Pair card reader — enter the Registration Code the reader shows when you choose Generate pairing code on it.

Staff then run a station from Shop → Sales Floor → Point of Sale.

Step 6 — Test it

  1. Signed out, open Shop → Home (/app/shop/) and confirm your items are listed.

  2. Open one and check its description, add-ons, and questions.

Tip

Ask Midsummer support (support@midsummer.cloud) to connect the shop’s Stripe webhook for your event before you open. Without it, an order is recorded only when the shopper’s browser returns from Stripe after paying — a shopper who closes the tab too early is charged without an order being created.

Ready check

  • Every item exists at the right price, is Active, and has the right Availability.

  • The storefront shows your items to a signed-out visitor.

  • The fulfillment e-mail reads the way you want.

  • You know how orders will be handed over, and the terminal (if any) opens on its device.

  • For in-person sales: a location, a station, and a paired reader.
